E-invoice 30-day reporting sheet for CA firms: which client invoices and credit notes the IRP will refuse, and the last day for each

Updated 21 Oct 2026 · Disclosure: the white-label calendar linked below is an Unadhi product (₹999/year).

What you get: a ready-to-copy Google Sheet layout that shows, for every client with aggregate turnover of ₹10 crore or more, which invoices, credit notes and debit notes still have no IRN and the last day each one can be reported on the e-invoice portal (IRP). Plus a daily routine and three client messages. Free, no sign-up.

Short answer (checked 21 Oct 2026): from 1 April 2025, a taxpayer with aggregate annual turnover (AATO) of ₹10 crore or more cannot report an e-invoice on the IRP more than 30 days after the document date. It covers invoices, credit notes and debit notes, and the IRP blocks IRN generation once the window closes. GSTN's own example: a document dated 1 April cannot be reported after 30 April. Below ₹10 crore there is no such limit "as of now". Sources: GSTN's advisory Time limit for reporting e-invoice on the IRP portal (threshold lowered from ₹100 crore, which applied from the advisory of 13 September 2023) and the IRIS IRP release note of 31 March 2025. Check einvoice1.gst.gov.in for later changes before you act. This is a starting point, not tax advice.

Why October is the month it bites

Festive-season billing, a credit note issued late for a return, an export or SEZ invoice someone billed from the old software: these are the documents that sit unreported. A credit note dated 25 September 2026 has its last reporting day on 25 October 2026, a Sunday. Once the window closes the portal will not take it, and the client is left with a B2B document that has no IRN.

A ClientSame name as the clients tab
B TypeInvoice / Credit note / Debit note
C Document no.As in the books
D Document dateDate printed on the document
E Recipient GSTINOr "Export" / "SEZ"
F Value (₹)Taxable value
G IRN onDate the IRN came back
H Last IRP dayFormula below
I FlagFormula below
H2: =IF(VLOOKUP(A2,clients!A:D,4,FALSE)="30-day limit",D2+29,"")
I2: =IF(G2<>"","Done",IF(H2="","No time limit",IF(H2<TODAY(),"Window closed: talk to client",IF(H2-TODAY()<=3,"Report today","Open, "&(H2-TODAY())&" days left"))))

Column H uses document date + 29 days, which matches GSTN's example (dated 1 April, last day 30 April). Sort the documents tab by column H so the oldest open item is on top every morning.

Daily routine (ten minutes)

WhenWhat
Every morningPaste yesterday's B2B, export and SEZ documents from each 30-day client; mark the ones whose IRN already came back.
Any "Report today" rowSend message 1 and generate the IRN yourself if you hold the login.
Before GSTR-1Filter "Window closed" rows and agree with the client what happens to each before the return is filed (message 2).
Once a monthRe-check column C for any client crossing ₹10 crore; they move into the 30-day rule.

Three client messages

1. Report now: "[Document no.] dated [date] still has no IRN. Your turnover puts you under the 30-day e-invoice limit, so the portal will refuse it after [last day]. Please generate it today, or send me the details and we will."

2. Window closed: "[Document no.] dated [date] was not reported within 30 days, and the e-invoice portal no longer accepts it. Let's decide today how to deal with this document before your GSTR-1 is filed; please do not issue it to the customer as it is."

3. Newly in the rule: "Your aggregate turnover has crossed ₹10 crore, so every B2B invoice, credit note and debit note must now get its IRN within 30 days of its date. Can your billing team send us a daily list of documents without an IRN?"
