TDS and TCS deposit for October 2026 by 7 November: a challan and late-interest sheet for CA firms
What you get: a ready-to-copy Google Sheet layout for every TDS and TCS deposit your clients owe for October 2026. Tab 1 has one row per client per challan: TAN, deductor type, section 393/394 table item, normal challan or Form 141, date deducted, amount, a due-date formula (7 November, or 30 days after month end for Form 141 cases), date paid, Tax Year check, and a late-interest formula at 1.5% a month under section 398(3)(a)(ii). Tab 2 filters the clients still unpaid. You also get a made-up example, a plan for the week of 2 to 7 November, and a WhatsApp message for clients.
Short answer (checked 24 Oct 2026): Rule 218(2)(b) of the Income-tax Rules, 2026 says TDS and TCS deducted or collected by a non-government deductor must be paid on or before seven days from the end of the month, so October 2026 deductions are due by Saturday 7 November 2026. Rule 218(3) gives 30 days from the end of the month (that is, by 30 November 2026) for challan-cum-statement cases on Form 141: rent and property purchase paid by specified individuals/HUFs, contract, professional fee and commission payments by individuals/HUFs under section 393(1) Table Sl. No. 6(ii), and virtual digital assets. The Income Tax Department's tax payments FAQ says these timelines are the same as old rule 30 and that interest for depositing late after deduction is 1.5% for every month or part of a month from the date of deduction to the date of payment (section 398(3)(a)(ii)). We found no official extension for 7 November falling on a Saturday, so aim to pay by Friday 6 November.
What the rule and the FAQ say
- Non-government deductors and collectors: by the 7th of the next month, except March deductions (30 April). Rule 218(2).
- Government offices: the same day if paid without a challan; within seven days from month end if paid with a challan. Rule 218(1).
- Form 141 cases: 30 days from the end of the month of deduction. Rule 218(3).
- Quarterly payment: only where the Assessing Officer has allowed it with Joint Commissioner approval, for the specific items in rule 218(4). The October-December quarter would then be due 7 January 2027. Keep a copy of the permission in the client file.
- Interest: 1% a month or part of a month if tax was not deducted on time (398(3)(a)(i)); 1.5% a month or part of a month if deducted but paid late (398(3)(a)(ii)). Section 398(3)(b) says this interest must be paid before the quarterly statement is filed.
- Which Act and year: sums paid or credited on or after 1 April 2026 fall under the Income-tax Act, 2025. The FAQ asks you to select Tax Year 2026-27 for these payments so the credit lands in the right year, and to quote the section 393 table item (not old 194C, 194J and so on).
Tab "Oct deposits": one row per client per challan
| Col | Header | What goes in it |
|---|---|---|
| A | Client | Trade name |
| B | TAN | 10 characters |
| C | Deductor type | Non-govt or Govt |
| D | Section / table item | For example 392 (salary), 393(1) Table Sl. No. 6(i) (contractors), 394 for TCS |
| E | Route | Challan or Form 141 |
| F | Date deducted / collected | Date the tax was actually deducted or collected in October 2026 |
| G | Tax (₹) | Amount deducted or collected |
| H | Due date | =IF(E2="Form 141",EOMONTH(F2,0)+30,EOMONTH(F2,0)+7) (October rows give 7 Nov or 30 Nov 2026; for Govt rows paid without a challan, type the deduction date instead) |
| I | Date paid | From the challan (CIN / BSR code and date), blank if not yet paid |
| J | Tax Year 2026-27 under 2025 Act? | Yes / No, after checking the challan receipt |
| K | Months for interest | =IF(OR(I2="",I2<=H2),0,(YEAR(I2)-YEAR(F2))*12+MONTH(I2)-MONTH(F2)+1) |
| L | Interest at 1.5% (₹) | =G2*1.5%*K2 |
| M | Status | =IF(I2="",IF(TODAY()>H2,"LATE: pay now + interest","OPEN: pay by "&TEXT(H2-1,"d mmm")),IF(J2<>"Yes","CHECK challan year/Act",IF(I2>H2,"PAID LATE: interest "&TEXT(L2,"#,##0"),"OK"))) |
About column K: the Act says "every month or part of a month" from the date of deduction. The formula counts every calendar month touched, from the month of deduction to the month of payment. That is the more cautious count. Some practitioners count month periods from the deduction date instead, which can give one month less. We could not confirm from an official source which way the TRACES default calculation counts, so compare with the TRACES figure before you file and pay the higher amount if in doubt. The status formula shows the day before the due date as the target ("pay by 6 Nov" for 7 November rows).
Tab "Unpaid": who still has to pay
Use =FILTER('Oct deposits'!A2:M,'Oct deposits'!I2:I=""), then sort by column H so the 7 November rows come before the 30 November Form 141 rows. Add columns for who will call the client, the date the client promised to pay, and whether net banking is set up in the client's TAN login.
Made-up example (not a real client)
Client "Sample Engineering Pvt Ltd" deducts ₹40,000 TDS on a contractor bill on 20 October 2026 (393(1) Table Sl. No. 6(i), normal challan). Due date = 31 Oct + 7 = 7 Nov 2026. If they pay on 6 Nov, status = OK. If they pay on 9 Nov, column K counts October and November = 2 months, and interest = 40,000 × 1.5% × 2 = ₹1,200, to be paid before the Q3 statement. A second row for the director's house rent paid as an individual (Form 141 route) gets a due date of 30 Nov 2026.
Plan for 2 to 7 November
- Mon 2 Nov: ask every client for October's payment register (contractor, professional, rent, salary, purchase TCS) and fill columns A to G.
- Wed 4 Nov: send each client the challan amount by section; check who pays from their own net banking and who needs you to create the challan.
- Fri 6 Nov: target day. Collect challan receipts, fill columns I and J, and fix any challan made under the wrong Act or year (see the related guide below).
- Sat 7 Nov: legal last day. Anything unpaid now goes on the Unpaid tab with interest running.
WhatsApp message to a client
