How to invoice and chase late payments as a freelancer, with reminder templates
Why invoices get paid late
Clients' accounts teams pay what is easy to approve. Invoices missing a PO number, the right legal name, tax details or bank details get parked. Freelancers also hesitate to chase, so the invoice slips down the pile.
What every invoice should have
- Your name or business name, address and tax ID if you have one
- Client's legal name and address (and their PO or reference number)
- Invoice number (sequential) and date
- What you delivered and when it was accepted
- Amount, currency and any tax shown separately
- Due date written as a date, not just "Net 30"
- How to pay: bank details or payment link
- Late-payment terms, if you agreed any
A reminder sequence that keeps the client
1. Five days before the due date
Subject: Invoice [number] due on [date]
Hi [name], a quick note that invoice [number] for [amount] is due on [date]. It's attached again for convenience. Thanks for working with me. [Your name]
2. One to three days after
Subject: Invoice [number]: expected payment date?
Hi [name], invoice [number] for [amount] was due on [date]. Could you let me know when it is scheduled for payment? If anything on the invoice needs changing, tell me and I'll fix it today.
3. About two weeks after
Subject: Invoice [number] now 14 days overdue
Hi [name], invoice [number] for [amount] is now 14 days past its due date of [date]. Please arrange payment this week, or tell me who in accounts I should contact. I've paused new work until this is settled.
4. Final notice
Subject: Final notice: invoice [number]
Hi [name], despite earlier reminders, invoice [number] for [amount] (due [date]) remains unpaid. Please pay by [date, 7 days out]. If it is not received by then, I will take the next step available to me under our agreement and local law.
Common mistakes
- Starting work without written terms. A short email the client replies "agreed" to is better than nothing.
- Angry first messages. They make the client defensive. Save firmness for step 3.
- Threats you won't carry out. Only state a next step you will actually take.
- No tracking. Keep one list: invoice, amount, due date, last reminder, next action.
In India, Udyam-registered micro and small suppliers also have statutory protection; see the MSME 45-day rule. Elsewhere, look up your country's late-payment law or small-claims process.
Frequently asked questions
When should I send a payment reminder?
A friendly reminder a few days before the due date, a check-in one to three days after, a firm reminder at about two weeks, and a final notice with a clear date after that.
What should a freelance invoice include?
Your details, the client's legal name and reference, an invoice number and date, what was delivered, the amount and currency, a specific due date and how to pay.
Should I stop work if a client doesn't pay?
Many freelancers pause new work once an invoice is significantly overdue. Say so calmly in your reminder rather than as a threat.
