AI prompts for small shops: customer replies, product posts and review answers you can copy
Why prompts matter more than the tool
ChatGPT, Gemini, Claude and similar tools all do better with clear context, an example and explicit limits, as their own prompting guides say. For a shop, the risk isn't a dull reply; it's a confident reply with a wrong price or a promise you can't keep. The limits line prevents most of that.
Ten prompts to copy (fill the brackets)
- Customer reply: "You reply to customers for [shop type] in [city]. Tone: warm, short, polite. Facts: [price, stock, timings]. Customer wrote: [message]. Reply in under 50 words. Use only the facts given; if something isn't there, say we'll check and get back."
- Reply in Telugu (or any language): "Write the same reply in simple Telugu, under 40 words. Don't invent prices or dates. Then give the English meaning so I can check it."
- Product description: "Write a 60-word description of [product] for my [website/Instagram]. Facts: [size, material, price, care]. No claims I haven't given (no 'best', no health claims)."
- Festival post: "Write a short festival greeting post for [festival] from [shop name]. Greeting first, thank customers second, one line about [real offer with dates]. No pressure words like 'hurry' or 'last chance'."
- Answer a good review: "Thank this customer for their review in 2–3 sentences, mention [detail they liked], invite them back. Review: [text]."
- Answer a bad review: "Draft a calm public reply to this review. Apologise for the experience, state one fact if relevant, offer to fix it offline at [contact]. Don't argue or blame. Review: [text]."
- Quote follow-up: "Write a polite follow-up to a customer who asked for a quote 3 days ago: [item, price, validity]. Under 60 words, no pressure."
- FAQ sheet: "From these notes, write 8 short FAQs for my shop (timings, delivery, returns, payment). Notes: [paste]. Mark anything unclear as [CHECK]."
- Weekly post plan: "Suggest 5 post ideas for this week for a [shop type], using these real events: [list]. One line each."
- Check my message: "Check this message for spelling, tone and anything a customer could misunderstand. List changes; don't rewrite the facts: [text]."
Five rules that keep you safe
- Facts in, not out. Paste the real price and dates; tell the tool not to add any.
- Minimum data. Don't paste customers' phone numbers, addresses or payment details. In India the Digital Personal Data Protection Act, 2023 sets duties for handling personal data; other countries have similar laws.
- Read before sending. Especially translations: AI makes spelling and grammar slips in Telugu and other Indian languages. Ask a fluent speaker when it matters.
- Opt-in only. Message customers who gave you their number and agreed to hear from you; WhatsApp's business policy requires this.
- Keep a prompt file. Save the prompts that work in one note so staff use the same tone.
Common mistakes
- One-line prompts ("write a post") that give generic text.
- No limits, so the tool invents discounts, delivery times or features.
- Copy-paste without reading, including the tool's own notes like "[insert price]".
- Fake reviews or fake urgency. Never ask AI to write reviews in customers' names; it misleads buyers and breaks platform rules.
Checklist
- Shop context line written once and reused
- Facts pasted for every task
- "Don't invent prices, dates or offers" in every prompt
- No customer personal data pasted
- Every answer read before sending
- Working prompts saved in one file

Frequently asked questions
What is a good ChatGPT prompt for replying to customers?
Give the shop type and tone, paste the facts (price, stock, timings) and the customer's message, set a word limit, and add: use only the facts given; don't invent prices or dates.
Can AI reply to customers in Telugu?
Yes, tools like ChatGPT and Gemini can draft Telugu replies, but they make spelling and grammar mistakes, so ask for an English meaning and have a fluent reader check important messages.
Is it safe to paste customer details into AI tools?
Paste only what the task needs. Avoid phone numbers, addresses and payment details; data-protection laws such as India's DPDP Act 2023 apply to personal data.
Should I let AI send messages automatically?
Not for customer messages. Read each answer before sending, because AI can state wrong prices or promises confidently.
